Caddie Corner Privacy Policy & Video Surveillance Notice

This Policy explains how The Caddie Corner, LLC, doing business as Caddie Corner ("Caddie Corner," "we," "our," or "us"), handles personal information in connection with our facility, reservations, memberships, events, website, and related services. Facility: 650 W Tuscarawas Ave, Barberton, OH 44203.

This Policy describes information practices; it is not an activity waiver, authorization for recurring billing, or consent to receive advertising. Those matters are addressed separately. It applies to information handled by Caddie Corner; a third-party service used directly by you may also have its own privacy policy.
1. Information we collect
Depending on your interaction with us, we collect the information you submit for accounts, bookings, memberships, events, purchases, waivers, customer support, and incident reports. This can include your name, email, telephone number, billing/contact information, membership and reservation details, participant names, signed acknowledgments, and communications. Booking, card-on-file, online checkout and participant-registration records may include the signer's name, booking/account identifier, accepted document version, signature or affirmative acceptance, and date/time; additional technical verification fields are collected only as actually described in Section 2. For age and identity verification, we review appropriate identification. We retain only information needed for identified operational, safety, transaction, or legal purposes; nonmember booking, waiver, payment, and incident records may be retained for those purposes. Retained member verification fields and any stored ID image/member photo are described here: we keep the member's date of birth, the date the ID was checked, and the staff member who checked it. We do not keep a copy, scan or photo of the ID. Do not send ID images, passwords, or complete payment credentials by ordinary email.
Payments taken in the Caddie Corner app, including memberships, Pro after-hours bookings and guest fees, league registration fees, private-event deposits, late-cancellation and no-show fees, and related refunds, are processed by Stripe. Every reservation, whether made online, by phone or as a walk-in, requires a payment card saved on file with Stripe; a saved card is stored by Stripe, not by Caddie Corner, and is charged only as disclosed at booking. Payments made at the venue, including bay time, food, drinks, retail, gift cards, competition entry fees and event-date balances, and Caddie Corner gift card balances and transactions, are processed through the Toast point-of-sale system. Company-accessible payment fields are the Stripe or Toast customer and payment reference numbers, card brand, last four digits, expiration month and year, billing ZIP code, amounts, dates, and refund status. Complete payment credentials are handled by Stripe or Toast. Payment records are retained for required legal periods.
When you use member-access systems, we collect records such as account or credential used, attempted/completed access, entry/check-in time and location, and reservation eligibility/status. A guest joining a Pro member's after-hours booking must be age 18 or older and have their own Caddie Corner account; for that guest we collect account and contact information, age verification, acceptance of the participant waiver and the After-Hours Golf Access Addendum, the booking they joined, and related access records.
We collect surveillance footage under Section 4. Player names, scores, and photographs are displayed on leaderboards only through a separate opt-in; submissions must be made by an adult. Required operating records are distinct from optional public display. For leagues and competitions, operational records include rosters, participant identity and age/waiver verification status, secure substitute invitations and acceptances, attendance, settings, official attempts, scores, protests, awards, and refund records. The app/server-owned record documents individual verification; a captain or staff roster entry is not itself another adult's acceptance. Necessary competitive results may be shared with participating teams and designated officials through the stated restricted channel. Publicly identifiable standings or photographs require the separate leaderboard permission. Participants who decline public display may be shown under a non-identifying system/team identifier; internal scorekeeping continues. Marketing-image permission is separate and optional.
2. Website technologies and service providers
Website and booking technology practices are described in our separate Website, Cookies & Tracking Policy (linked at the bottom of every page). That notice identifies actual technical data, cookies, analytics or advertising tools, purposes, provider disclosures, and available controls. The separate notice must be read with this Policy; essential booking/transaction records are also described here.
Technology providers and applicable notices: Caddie Corner app (Venue Hub, hosted on Replit) for accounts, bookings, waivers, memberships and leagues; Stripe for app payments and saved cards; Toast for point-of-sale payments and gift cards; Supabase for player profiles, scores and photos; Resend for booking and account emails; Ubiquiti (UniFi) for video recording; a key card access control system for the building; Full Swing for golf simulators; Podium1 for racing simulators; Dartsee for interactive darts; and Google Analytics and Meta for website measurement and advertising, as described in the Website, Cookies & Tracking Policy.
Any advertising/sale/sharing choices and browser privacy-signal practices are described in the separate website/tracking notice. For secure event links and league invitations, we retain the relevant event/season/participant identifiers, agreement or invitation status, acceptance and verification timestamps, attendance, and payment/refund reconciliation records. Actual technical fields and retention periods remain as disclosed in this Policy and the separate website notice. Relevant service-provider categories include reservations, payments, membership and access control, simulator software, website hosting, video storage, and customer communications. Current providers or additional provider disclosures: the providers named above in this Section. Each provider's own privacy policy applies to the information it holds.
3. How we use information
We use information for accounts, memberships, age and access checks, reservations, saving a payment card on file to secure reservations, authorized payments, late-cancellation and no-show fees and refunds, gift cards, events, support, transaction and consent records, security, incident and misuse investigations, documented damage claims, and legal compliance.
We also evaluate service availability and performance. Marketing follows Section 8, separately from necessary service notices. Uses are limited to appropriate stated purposes and any additional notice or consent required by law.
4. 24-hour video surveillance
Caddie Corner uses cameras configured for continuous 24-hour video recording of all simulator bays and the bar area, including unattended periods. There are no surveillance microphones, facial-recognition features, or live monitoring. Cameras are not installed in restrooms or other private areas. Outages or coverage gaps may interrupt recording. Recording does not provide supervision or guarantee emergency assistance. Sections 5-7 of this Policy describe routine retention of no more than 30 days, longer incident/legal preservation, access restrictions, and permitted disclosures. Video is recorded, not monitored live. A camera or portal report must not be relied on for immediate response. For an emergency, call 911 and give the facility address. For other after-hours equipment, damage, or security reports, use the membership portal/app for review by the membership manager/lead; the app provides contact information. Surveillance cameras do not record audio and do not use facial recognition or biometric identification. Any separately consented promotional video is governed by its optional marketing permission, not by this security-camera notice. We use footage and access records for safety, security, loss prevention, rule enforcement, investigations, incident documentation, damage claims, and appropriate legal requests. Routine internal access/export is restricted to authorized staff and management with a business need. Necessary limited provider, adviser, insurer, and lawful disclosures are addressed in Section 5. Staff may not post security footage on personal accounts or use it for unrelated entertainment.
Security recording does not authorize marketing use of a person's likeness. Optional photo/video marketing permission is obtained separately from the activity waiver and payment terms through checkout/QR registration. Declining it does not prevent participation. Leaderboard permission and email/text subscriptions are also separate opt-ins. The full Privacy Policy is published on the website. Compact video-recording notices are posted at customer entrances, including any separate member entrance, and link to the full notice. Tutorial QR pages do not bundle waiver acceptance, public-score permission or marketing enrollment into viewing a video.
5. When we disclose information
We disclose relevant information to providers performing services for us, subject to appropriate contractual and security arrangements; to professional advisers and insurers as needed for advice, claims, or investigations; in response to lawful process or other legally permitted requests; and when reasonably necessary to protect people, property, rights, or safety. We may disclose information at your direction or with a required consent. An event organizer may receive information needed to administer its event, such as registration or attendance status, but not unrestricted access to unrelated account records, payment credentials, or surveillance footage. Any public display of a name, score, or image must match the actual settings and notices described in Section 1. Information may be transferred in connection with a proposed or completed sale, merger, or other business transition, subject to applicable law and safeguards. Actual advertising-related sharing/sale practices, if any, and required choices are described in the separate Website, Cookies & Tracking Policy (linked at the bottom of every page).
6. Retention, deletion, and incident preservation
We keep personal information for periods reasonably necessary for the stated purposes, including providing services, documenting transactions and consents, preventing fraud, resolving disputes, and meeting applicable legal or insurance requirements. Retention depends on the record type, sensitivity, operational need, and applicable obligations.

Relevant recordings or other records may be preserved beyond routine deletion when reasonably needed for an incident, damage claim, dispute, insurance matter, investigation, or legal hold. A deletion request does not necessarily require deletion of records we must or may lawfully retain. Contact us promptly about an incident because ordinary footage may otherwise be overwritten. A request does not guarantee that footage exists or entitle a requester to receive footage containing other people.
7. Security and access restrictions
We use reasonable administrative, technical, and physical measures appropriate to the information we handle, including limiting access to authorized people with a business need. No information system, network, or storage method is completely secure. This statement does not eliminate obligations imposed by applicable law. You are responsible for protecting your account credentials and promptly reporting suspected compromise. Do not share membership or access credentials. We may verify identity before granting account access or processing a privacy request. Do not submit sensitive information that is unnecessary to your request.
8. Communications and your choices
Marketing emails and promotional text messages are sent only through the applicable separate opt-in process. You may unsubscribe from marketing emails using the included method. We do not currently send promotional text messages. If we start a text program, its terms, provider and opt-out steps will be posted before anyone is enrolled. Making a reservation, saving a card on file, purchasing a membership, accepting an activity waiver, or consenting to a marketing image does not itself enroll you in marketing messages. We may still send appropriate nonmarketing communications about reservations, payments, access security, cancellations, and material service or policy changes, consistent with applicable consent and communications requirements. Contact info@caddiecorner.pub to update account information or communication preferences. Where available, use the cookie and advertising controls identified in Section 2. Disabling certain essential technologies may affect sign-in or booking functionality. A marketing opt-out does not by itself cancel a reservation or membership; use the applicable cancellation procedure.
9. Privacy requests and applicable rights
Send privacy questions or requests to info@caddiecorner.pub or 650 W Tuscarawas Ave, Barberton, OH 44203. Identify the service or account involved and the action requested, but do not include passwords, full payment credentials, or unnecessary identification documents. We may request reasonable information to verify identity, authority, or the scope of the request. Depending on applicable law, you may have rights concerning access, correction, deletion, portability, or particular uses or disclosures of personal information. We will respond as required by the law that applies to the request. If a state privacy law gives you additional rights, email info@caddiecorner.pub with the subject "Privacy request" and we will respond as that law requires, including any appeal process it provides. This Policy does not waive rights that cannot legally be waived. We may retain or withhold records where permitted or required for security, fraud prevention, legal compliance, protection of others' privacy, completion of transactions, or establishment or defense of claims. Surveillance requests may require redaction, another response, or lawful process depending on the circumstances. Account deletion does not automatically cancel paid commitments; membership and reservation cancellations must also be processed through their stated procedures.
10. Minors and parent/guardian information
After-hours access is limited to Pro members and their registered guests, each age 18 or older. All ages are welcome during staffed hours; under-18s require adult supervision and racing participants must be at least 12.
Guests of all ages are welcome during staffed hours, with anyone under 18 accompanied by an adult. The facility terms govern participation and required parent/legal-guardian acceptance. Online purchases, participant information submissions, and leaderboard submissions are handled by adults. A parent or legal guardian supplies the required consent for a permitted minor; another responsible adult may supervise only under the facility rules. Information collected for a minor is limited to what is needed for participation, applicable consent, safety, and related records. An activity waiver does not authorize advertising uses of a child's image or unrelated marketing. Optional minor image permission is obtained from an appropriately verified parent/legal guardian.
11. Third-party services and changes to this Policy
Our services may link to or integrate with independent booking, payment, simulator, social-media, or other services. Review their notices for information they collect directly and control independently. This does not eliminate Caddie Corner's responsibility for information practices it controls or for its own disclosures to providers. We may update this Policy to reflect changes in practices or legal requirements. The effective date appears at the beginning. Material changes will be communicated appropriately, and any notice, consent, or choice required by applicable law will be provided. Posting an updated Policy does not by itself supply consent where additional consent is required.
